School Administrator

The Role

To provide efficient administrative support to the Business Manager.

Your responsibilities

• Assist with maintaining the HR database
• Responsible for recording, monitoring and processing overtime claims
• Provide support to the School Business Manager as and when required
• Maintain confidentiality and Data Protection adherence at all times
• Being the first point of contact for both telephone and face to face enquiries and taking messages where appropriate
• Organise and administer the daily ‘cover’ arrangements for those staff who are not available for their normal working commitment
• Maintain accurate attendance records for each member of staff and ensure that this information is included in the monthly absence return to payroll
• Raise any concerns relating to staff absences, especially those indicating potential long-term absence
• Meet with Senior Leaders on a regular basis to discuss the school calendar and timetable requirements
• Co ordinating cover staff, after consultation with Senior Leaders, to cover staff who are unavailable and to keep an up-to-date register of cover staff
• Responsible for all the administration associated with the appointment and resignation of staff, including pre-employment checks and payroll documentation and new starters (probation)
• Ensure school security arrangements are always complied with, including the issue of visitors badges and signing in
• Undertake filing, photocopying and reprographic work as required, including the basic maintenance of the photocopier
• Participate in the performance and development review process, taking personal responsibility for identification of learning, development and training opportunities in discussion with line manager
• Ensure that all duties and services provided are in accordance with the School’s Equal Opportunities Policy
• The duties above are neither exclusive nor exhaustive and the post holder may be required by the Headteacher to carry out appropriate duties within the context of the job, skills and grade

Candidate Specification

• Experience of administrative work in a busy office environment
• Educated to NVQ Level 3 or equivalent
• Knowledge of general school policies and procedures
• Good reading and writing skills
• Ability to exchange verbal information clearly and sensitively with children and adults
• Understand and support the differences in children and adults and respond appropriately
• Good organisational skills
• Ability to work accurately with attention to detail
• Be prepared to develop and learn in the role

The Package

• Training will be provided
• Salary: £13.02 – £13.70 per hour
• Location: Benfleet
• Monday to Friday 7:30am to 1.30pm
• Ongoing temporary role (Until July 2024)
